Privacy Statement
PowerQ: www.powerq.eu and other websites of the PowerQ group
1. Introduction
PowerQ B.V., registered in the Trade Register under number 24371011, also acting herein on behalf of its group companies pursuant to Article 2:24b of the Dutch Civil Code (hereinafter: “we” or “PowerQ”), attaches importance to the protection of your personal data. In this privacy statement we explain which personal data we collect via www.powerq.eu and other PowerQ websites (each of the PowerQ websites hereinafter: “the Website”), why we do so, how long we retain it, with whom we share it and what rights you have. This statement has been drawn up in accordance with the General Data Protection Regulation (GDPR).
2. Who is responsible for your data
PowerQ is the controller for the personal data processed via the Website. PowerQ’s statutory details are set out in chapter 1 and under Contact (chapter 14).
3. Which personal data we process and why
3.1 Contact form
If you complete the contact form on the Website, we process: your name, telephone number and the content of your message.
Purpose: answering your question or request. Legal basis: performance of a contract (or steps taken prior to entering into one) and/or PowerQ’s legitimate interest in being able to answer questions from visitors.
Your submission is processed by the Website’s own system and forwarded to us by email (info@powerq.eu); there is no connection to an external CRM system.
3.2 Partner form
If you complete the partner form, we process: your name, country, company name, email address and the content of your message. The partner form is intended for companies and organisations wishing to enter into a business relationship with PowerQ, for example as a reseller, channel partner or implementation partner.
Purpose and legal basis: as set out above for the contact form. This form also posts to the Website’s own system and sends by email, without any connection to an external CRM.
3.3 Spam protection
Both forms are protected by an in-house “honeypot” field (an invisible verification field). No external service such as reCAPTCHA or Cloudflare Turnstile is used for this, so no data is shared with an external party for spam detection.
3.4 Technical and functional data (cookies)
When you visit the Website, two necessary first-party cookies are placed: XSRF-TOKEN (security token, retention period 2 hours) and powerq_session (session management, retention period 2 hours). No consent is required for these cookies because they are necessary for the Website to function. Please see our cookie statement for the full overview.
3.5 Server logs at the hosting provider
Our hosting provider processes technical logging data (such as IP address, time and page requested) for the purposes of the security and availability of the Website. Our hosting provider’s servers are located in the Netherlands. Server logs and back-ups are retained no longer than necessary for security and continuity purposes, up to a maximum of 12 months.
3.6 Website statistics (analytics)
For website statistics PowerQ uses Google Analytics 4 (GA4), a service provided by Google (United States). GA4 places tracking cookies and collects data such as pages visited, referring website and aggregated visitor numbers, linked to Google Ads where required.
The GA4 script is only loaded after you have given your consent for it via the cookie banner; without consent the script remains blocked. The retention period for event data in GA4 is set to 14 months. Please see our cookie statement for the cookies concerned.
4. Legal bases for the processing
We process your personal data on the basis of the following legal bases set out in Article 6 GDPR:
performance of a contract or taking pre-contractual steps at your request (for example with the partner form);
PowerQ’s legitimate interest (for example being able to answer questions submitted via the contact form, and technically securing the Website by means of necessary cookies and server logs);
consent, in so far as applicable (in particular for Google Analytics 4, for which you give consent in advance via the cookie banner).
5. Automated decision-making and profiling
No automated decision-making, profiling or personalisation takes place on the Website. No artificial intelligence is in use for the processing of your data.
6. With whom we share your data (processors and recipients)
We engage the following parties for the operation of the Website:
Party | Role | Location | Status of data processing agreement / transfer |
Concept7 | Design, build and technical maintenance of the Website and the CMS | Netherlands/EU | See the separate PowerQ–Concept7 data processing agreement. |
Hosting provider | Hosting of the production environment | Netherlands | PowerQ enters into a data processing agreement with the hosting provider directly. |
Google (Google Analytics 4) | Website statistics | United States | Transfer outside the EEA, see chapter 7. |
Microsoft (Microsoft 365) | Mailbox receiving form submissions | United States | Transfer outside the EEA, see chapter 7. |

6.1 Existing PowerQ suppliers connected to the new Website
PowerQ has decided to connect the following existing suppliers to the new Website: Microsoft 365 (for the mailbox receiving the contact and partner forms) and HubSpot (for CRM and marketing purposes). The contact and partner forms are handled directly by email (see 3.1/3.2) and are not recorded automatically in HubSpot; HubSpot is used more broadly for PowerQ’s CRM and marketing.
Brevo (newsletters) and Exact Online remain connected to PowerQ’s existing business operations and are not connected to the new Website.
7. Transfer of data outside the EU/EEA
For Google Analytics 4 (Google), Microsoft 365 (Microsoft) and HubSpot, personal data is transferred to the United States. Appropriate safeguards apply to these transfers, such as the party concerned participating in the EU-U.S. Data Privacy Framework and/or the European Commission’s standard contractual clauses, as set out in the processing terms of the supplier concerned.
8. Retention periods
Data | Retention period |
Contact and partner form | For as long as the purpose of the processing exists. If the purpose ceases to apply, the data is deleted no later than 2 years after that. |
Necessary cookies (XSRF-TOKEN, powerq_session) | 2 hours (technical, expire automatically) |
Cookie preference (consent choice) | 14 days (configurable, no statutory obligation, see also the cookie statement) |

9. Security of your data
PowerQ and Concept7 take appropriate technical and organisational measures to protect your personal data against loss or unlawful processing. The Website is secured with HTTPS (with a valid certificate and automatic redirection from http to https). Access to the form mailbox(es) and to CMS administration is limited to PowerQ and Concept7 staff for whom this is necessary in order to carry out their work, and is reviewed periodically.
10. Cookies
For a full overview of the cookies the Website places, and how you can manage your preferences, please refer to our separate cookie statement.
11. Your rights

the right of access to the data we process about you;
the right to rectification of inaccurate or incomplete data;

the right to restriction of processing;
the right to object to the processing;
the right to data portability;
the right to withdraw consent previously given.
You can submit a request via info@powerq.eu. We will respond within the statutory period of no more than one month after receipt.
12. Complaints
Do you have a complaint about the way we handle your personal data? Please contact us first. You also have the right to lodge a complaint with the Dutch Data Protection Authority, the Autoriteit Persoonsgegevens (www.autoriteitpersoonsgegevens.nl).
